1. Controller for Processing of Personal Data
We are the controller for processing of your personal data. Please check “13. Contact Us” below for our contact details.
2. Collection of Personal Data
1) We collect the following personal data directly from you or indirectly from third parties other than you (e.g. our affiliates, business partners, agents, contractors, sub-contractors and third party service providers) depending on the relationship between you and us.
(1) Identify verification information such as your name, alias, title, photos and videos, passport number and national identification number;
(2) Contact information such as your address, phone number, email address, name and location of company or organization you belong to, position in the company or organization, and other contact details;
(3) Information collected through providing our services such as gender, date of birth, place of birth, location of residence, nationality, ethnicity, information related to SNS account, information related to dietary restrictions, health information, bank account information, work history, any information necessary for travel, visa application, accommodation, meal and activities participation arrangements (including allergy information, religion, sexual preference and physical disabilities, etc), and exam score or other information related to exams of National Government Licensed Guide Interpreter;
(4) Information your provided during the staff recruitment process, in addition to the information set forth in (1) to (3) above; and
(5) Information contained in your enquiries and requests, including details of your enquiries and opinions.
2) In addition to the above personal data, we may collect the following personal data through your access to our website.
(1) Technical information such as IP address, access history, browsing data, logs and location information; and

You may be required to provide certain personal data when using our services. You may refuse to provide personal data to us, but in such cases, your access to our services may be limited or restrictions may be imposed on the provision of our services to you.
3. Legal Basis for Processing Personal Data
We process your personal data based on the following legal basis.
1) Contract: When processing your personal data is necessary to fulfill a contract with you, or to take pre-contractual steps based on your requests.
2) Legal obligations: If we need to comply with legal obligations.

4. Purpose of Use of Personal Data
We will use your personal data for the following purposes.
1) To operate our business or provide our services
(1) Invitation Business
- To administrate our invitation of you to Japan, including any arrangements on transportations, meals, accommodations, activities participation and required visas and related communications;
- To facilitate, support or contribute to your (i) inspection of tourist spots in Japan, (ii) creation of or engagement in publication, article or social media related works on such spots, and/or (iii) creation, marketing or promotion of in-bound travel related products or services into Japan; and
- To prepare and distribute letters of invitation and materials introducing our invitation business.
(2) Business meetings, seminars and events
- To administrate business meetings, seminars or events, including management of attendees, accommodations and venue security and related communications;
- To send participants letter of invitation, notice of seminar, seminar materials and information of traveling to Japan;
- To facilitate, support or contribute to any business negotiations or collaborations between buyers (travel companies outside Japan) and sellers (participants in Japan) or any other attending parties
- To conduct surveys for marketing; and
- To prepare and distribute materials introducing our business meetings, seminars and events.
(3) To promote traveling to Japan
- To provide information of traveling to Japan;
- To construct networks for marketing; and
- To create a brochure, image material, video materials.
(4) To operate our website
- To operate our website including the Japan Tourism Statistics (https://statistics.jnto.go.jp/en/ ) and Japan Safe Travel Information (https://www.japan.travel/en/japan-safe-travel-information/ ); and
- To respond to, handle, and process enquiries and requests regarding our websites.
2) To promote our business and services
- To analyze your activities or access through the Internet and SNS for marketing purposes including retargeting advertisements;
- To prepare mediums promoting our business and services such as websites and SNS;
- To provide the Internet or SNS users with information of traveling to Japan; and
- To manage information on copyright holders of images to be used as promotional materials.
3) To operate an exam of National Government Licensed Guide Interpreter
- To prepare a list of examinees and successful applicants;
- To prepare a list of those who are exempt from the first examination or some subjects;
- To notify scoring and pass/fail results; and
- To perform various procedures for examiners.
4) To recruit staff
- To communicate with applicants: and
- To conduct recruitment examinations.
5) To respond to inquiries and to provide membership services
- To respond to, handle, and process enquiries, requests, applications, complaints, and feedback from you or an entity or a judicial person to which you belong such as our supporting organizations or our members; and
- To provide services such as information dissemination, information collection and B to B matching in response to requests by our supporting organizations or our members.
6) To support Good-will Guide
- To register as a Good-will Guide for foreign visitors or Good-will Guide organization; and
- To commend a person or an organization that performs notable activities.
Notwithstanding the foregoing, we may process your personal data in order to comply with applicable laws and regulations, to respond to court orders and legal proceedings, or to establish, exercise, and defend our legal rights and interests.
5. Disclosure of Personal Data
We may disclose your personal data to the following persons and entities, within the extent of the purposes set forth in “4. Purpose of Use of Personal Data” above.
1) Our affiliate(s)
We may disclose your personal data to our affiliate(s) including our headquarter and local offices and the central government and public authorities of Japan.
2) Business partners and service providers
We may disclose your personal data to our business partners, agents, contractors, sub-contractors or third party service providers who provide services to us for the purposes set forth in “4. Purpose of Use of Personal Data” above. These may include local governments, destination marketing organizations, travel companies, activity operating companies, advertising companies, consulting companies, IT service providers (including platformers such as Google, SNS platformers or SNS operating companies), operators of tourist facilities, airline operators, hotels, restaurants, embassies of Japan in various jurisdictions, etc.
3) Employees
We may disclose your personal data to employees of us and our affiliate(s), who have the authority and are required to access your personal data.
4) Law enforcement authorities
We may disclose your personal data to public authorities related to law enforcement in response to legal requirements, court orders, or requests from governmental or law enforcement agencies.
6. Transfer of Personal Data Abroad
We may transfer your personal data to a third party located in a country other than the country of your residence within the extent of the purposes set forth in “4. Purpose of Use of Personal Data” above. In this case, we will comply with applicable data protection laws by, for example, securing one of the following or obtaining your consent.
1) The country/region to which personal data will be transferred is designated as a country/region that ensures an adequate level of protection for your rights and freedoms with respect to personal data under applicable data protection laws.
2) The third party has entered into contracts with us regarding the transfer of personal data as required by applicable data protection laws.

7. Security Control Measures
In addition to establishing rules on the processing of personal data, we take necessary and appropriate measures to prevent any leaks or loss of, or damage to your personal data to be processed, and otherwise to control the security of personal data, such as periodic self-inspection of the status of processing personal data, periodic training of employees regarding the processing of personal data, prevention of theft or loss of equipment for processing personal data. We also exercise appropriate supervision over our service providers and employees who process personal data.
8. Retention Period
We will retain any collected personal data for the period necessary for the purpose for which it was collected.
However, this does not apply if applicable laws and regulations require that personal data be retained for a longer period of time, in which case such personal data will be retained for the period of time required by the laws and regulations.

We will process the personal data of minors appropriately in accordance with this Policy and applicable data protection laws.
